How to work out a vacation budget per person
Some trip costs are for the whole group, like a rental or a hotel room. Others are for each person, like flights and meals. Mixing them up is the most common reason a trip costs more than planned. This calculator keeps them separate, adds everything up, then divides the total by the number of travelers.
What counts as per person
- Flights (or train or bus tickets)
- Activities like tours, tickets and passes
- Food, per person, per day
What counts for the whole group
- Lodging, as a nightly rate
- Getting around, like a rental car, gas, parking or rideshares
- Extras, like souvenirs, travel insurance or pet sitting
A worked example
Four people, five nights. Lodging is $180 a night ($900). Flights are $350 each ($1,400). Food is $45 per person per day for 6 days ($1,080). Activities are $100 each ($400). That's $3,780. Add a 10% cushion and the trip comes to $4,158, or $1,039.50 per person.
How the trip total is worked out
Lodging is the nightly rate times your nights. Food uses nights plus one day, since you eat on your travel days too. We add your extras and a cushion for surprises, then split what's left to save across the weeks until you leave.
Ways to make the budget go further
- Book lodging with a kitchen and cook a few breakfasts.
- Check flights a few days either side of your dates.
- Pick one or two must-do activities and keep the rest free, like beaches, hikes and markets.
- Add taxes and resort or cleaning fees to the nightly rate, so lodging matches what you'll really pay.
